The Compliance Workshop concept?

This informal gathering of industry colleagues dives into the evolving detail behind the code and its application to meetings and events. Speakers, moderators and panellists work with attendees to understand how the code is changing and how meetings and events are adapting to this reality, applying the data to the pre, peri and post operational delivery of any healthcare meeting. This workshop is all about the devil in the detail that is not generally available at any other meeting focused on the healthcare sector.

Objective:

Foster peer-to-peer problem-solving, networking, and the sharing of efficiency solutions with the wider meetings and events community. Focus for this workshop is the development of a meeting compliance checklist, that can be shared publicly, improving the correct application of industry codes of practice and company policies to meetings in the sector.

This workshop’s content is intended for meeting professionals and organisations involved in planning healthcare sector meetings, subject to codes of practice. Corporate organisations, agencies, DMC’s, venues, destinations, operational teams implementing compliance into operational processes, corporate meeting professionals, medical society meeting professionals, professional conference organisers, medical communications professionals with an interest in meeting planning.

venues County Hall is located on London’s Southbank overlooking the River Thames and offers 30 multi-use meeting rooms across 68,000 square-feet and two floors. Able to accommodate up to 400 guests, it is ideal for investor conferences, roadshows, stakeholder events, government summits, and team-building events.

Located in historic County Hall, the building has been expertly restored, keeping many of the original features while incorporating high-quality design elements for maximum comfort and productivity. Rethinking Compliance in Healthcare Meetings

Join peers from across the healthcare meetings sector for a focused, forward-looking session exploring how meeting compliance can be smarter, more aligned to each stakeholder’s needs, and effectively implemented.

🕘 10:00 – Welcome & Introduction

Topic: Setting the tone for a collaborative and practical day.
We’ll introduce the workshop objectives, outline the flow of the day, and highlight the shared challenges and opportunities in healthcare meeting compliance.
Outcomes:

      • Clear understanding of the day’s structure and goals
      • Context for how each session connects to real-world challenges
      • A shared baseline for open and constructive discussion

📚 10:15 – Understanding Competency in Compliance

Topic: What separates compliance “cavemen” from compliance experts?
We’ll explore baseline competencies, critical thinking skills, and core behaviours that underpin confident and consistent compliance decision-making.
Outcomes:

      • Identify the essential skills and knowledge areas for compliance mastery
      • Recognise common gaps that lead to risk
      • Benchmark your own (and your team’s) current competency levels

🌍 11:00 – Global Compliance Update & Participant Priorities

Topic: Aligning global changes with your real-world challenges.
A concise overview of key regulatory shifts and emerging market trends, followed by a review of participant-submitted priorities from pre-workshop feedback.
Outcomes:

      • Awareness of current and upcoming global compliance changes
      • Peer-to-peer insight into common and unique challenges
      • A prioritised focus list for deeper discussion during the day

Informal opportunity to connect with peers, share perspectives, and continue the morning’s conversations.

🤖 13:00 – Understanding Compliance AI Through the Lens of Code Advisor

Topic: Where is AI today in terms of its technological capability and its ability to support compliance for meetings and events?
Using Code Advisor AI as a working example, this session will explore the current strengths, limitations, and opportunities of AI in the compliance space. We’ll compare insights from the 2024 Compliance Workshop review with today’s capabilities, examining what has changed in AI technology over the past 12 months and what that means for practical application in real-world meeting planning.

Outcomes:

      • Understand the broader state of AI for compliance through a concrete, real-world example
      • Identify where AI can meaningfully enable compliance understanding and support consistent application
      • Recognise the limits of current AI tools and the role of human oversight in code-aligned meeting delivery
      • Explore future directions for AI-enabled compliance solutions

🧩 13:30 – Compliance Case Studies & Challenges

Topic: Tackling complex, realistic scenarios in small groups.
Working at tables, participants will dissect real-world case studies drawn from the needs of meeting stakeholders, planners, and supplier partners. The focus: identifying compliance hotspots, developing practical solutions, and defining action steps.
Outcomes:

      • Apply compliance knowledge to nuanced, multi-stakeholder situations
      • Test decision-making approaches in a safe, peer-led environment
      • Leave with practical solutions and ready-to-use actions

Topic: Converting ideas into action.
A plenary discussion to share group findings, highlight common themes, and commit to next steps.

We do not believe that something free has the same value as something which requires an investment. In this case we apply a cost for attendance to the workshop to contribute to some meeting costs including; speakers and panellists and support the creation of relevant post workshop content.
